What is Bill-wise Details?

Bill-wise Details feature in Tally enables tracking individual bills (invoices) against party ledgers, allowing businesses to manage outstanding receivables and payables at bill level. This is crucial for credit management, payment allocation, and aging analysis. When enabled for a ledger, each invoice is tracked separately with its due date, and payments can be allocated against specific bills. Bill-wise tracking provides complete visibility of outstanding amounts and payment history.

How to Enable Bill-wise Details in TallyPrime

Follow these steps to activate bill-wise tracking for any party ledger in TallyPrime:

  1. 1
    Open the Party Ledger

Go to Gateway of Tally > Alter > Ledger and select the party ledger you want to configure.

  2. 2
    Enable Bill-by-Bill Tracking

Set "Maintain balances bill-by-bill" to Yes.

  3. 3

  4. 4

Press F12 (Configure) and set "Provide bill-wise details" to Yes.

  5. 5
    Set Default Credit Period

Enter the credit period (e.g., 30 days, 60 days) to auto-calculate due dates for bills.

  6. 6
    Save the Ledger

Press Ctrl+A to save the ledger with bill-wise details enabled.

Types of Bill References

When entering a voucher with bill-wise details, TallyPrime asks you to select a bill reference type. Here are the four options:

New Ref

Fresh transaction that creates a new bill for the party. Used when recording a new sales or purchase invoice.

Agst Ref (Against Reference)

Settle against an existing bill — used for payments, receipts, credit notes, or debit notes linked to a specific invoice.

Advance

Record advance payments received or made before the invoice is created. These can be adjusted against future bills.

On Account

Save the transaction without any specific bill reference. The amount is tracked as a general outstanding for the party.

Bill-wise Details for Receivables vs Payables

Receivables

  • Track credit sales and outstanding invoices
  • Recover dues with bill-level follow-up
  • Ageing analysis for prioritizing collections

Payables

  • Avoid late fees by tracking due dates

Calculate interest on overdue bills automatically based on the credit period and interest rate configured.

Frequently Asked Questions

How do I enable bill-wise details in TallyPrime?
Go to Gateway of Tally > Alter > Ledger, select the party ledger, and set "Maintain balances bill-by-bill" to Yes. If the option is not visible, press F11 (Features) and enable "Bill-wise entry" first, then configure via F12.
What is the difference between "New Ref" and "Agst Ref" in bill-wise details?
"New Ref" creates a fresh bill reference for a new transaction like a sales or purchase invoice. "Agst Ref" (Against Reference) is used to settle or adjust against an existing bill, such as when recording a payment or credit note against a previously created invoice.
Can I enable bill-wise details for existing ledgers with transactions?
Yes, you can enable bill-wise details for existing ledgers. However, past transactions will not automatically get bill references. You'll need to manually allocate old outstanding amounts using the "On Account" method or adjust them through journal vouchers.
How to view outstanding bills using bill-wise details?
Navigate to Gateway of Tally > Display > Statements of Accounts > Outstandings. You can view Group Outstandings for receivables or payables, or check individual Ledger Outstandings for bill-wise breakdowns with aging details.
What happens to old transactions when I enable bill-wise?
Old transactions recorded before enabling bill-wise details will appear as "On Account" entries without specific bill references. The outstanding balance remains correct, but you won't get bill-level tracking for those older entries unless you manually allocate them.
Can I use bill-wise details with foreign currency ledgers?
Yes, TallyPrime supports bill-wise details for foreign currency ledgers. Each bill tracks both the foreign currency amount and the base currency equivalent. Exchange rate differences during settlement are automatically calculated and posted.
